Birth Certificate Online 2026: CRS Registration, 21-Day Rule and Delayed Cases
Every birth in India must be registered with the local Registrar under the Registration of Births and Deaths Act, 1969. Registration within 21 days is free. For hospital births the institution reports the birth; for home births the family reports it. Since the 2023 amendment, for births registered on or after 1 October 2023, the birth certificate serves as a single document to prove date and place of birth for admissions, Aadhaar, voter registration and government jobs.

Checked on 13 October 2026 against the Civil Registration System portal and the Office of the Registrar General, India. Late fees and the exact authority for very old cases are set by State rules under the Act; confirm with your local Registrar (municipality, gram panchayat or health centre).

What is it?
The Registrar of Births and Deaths for your area — usually the municipality in towns and the gram panchayat secretary or a designated health official in villages — records each birth. The Civil Registration System is the national online platform used by Registrars, and in many States the public can also report a birth and download the certificate through it. After the 2023 amendment, registration data is also linked to a national database.
Benefits
A timely birth certificate makes many later steps easier: Aadhaar enrolment for the child, school admission, passport, and proof of age for scholarships, jobs and voting. Registering within 21 days avoids late fees, affidavits and extra verification.

What to do next
- If the baby was born in a hospital, ask before discharge whether the birth has been reported on CRS

- Fill in date, place, sex of the child, parents' details and address exactly as on documents
- Note the application or registration number and track it
- Download the certificate from CRS where available, or collect it from the Registrar
- To add the child's name later, apply to the same Registrar with the registration number
Important dates
Free within 21 days. Between 21 and 30 days, a late fee applies. Between 30 days and one year, written permission of the prescribed authority and an affidavit are needed. After one year, an order from the authority designated under the Act and State rules is required.
Common mistakes to avoid
- ✓Assuming the hospital discharge slip is the birth certificate
- ✓Spelling parents' names differently from their Aadhaar
- ✓Waiting for the child's name before registering — register first, add the name later
- ✓Paying agents for a “fast” certificate; use the Registrar or official CRS portal only
